Create and manage a team
Group the people you work with into a team to get team projects, a team chat and an org chart in one place.
Applies to Web · Mac · iPhone app · only team leads and admins can invite or remove people
A team is a group of people you regularly work with. Once you create one, you get team projects (shared notebooks everyone on the team can edit), a team conversation and an org chart with titles and reporting lines. New teammates see the team’s projects as soon as they join — no need to share notes one person at a time.
Create a team
- In the sidebar, click + (New team) next to the Teams heading.
- Enter a Team name (up to 60 characters) and confirm. You become the Team lead.
Each team row shows member avatars and a head count. Right-click the row or open its ⋯ menu for Manage team, Open team chat, View org chart, New project (shared notebook) and more.
Invite teammates
- Choose Invite member from the team menu, or use the Invite member field in the Manage team dialog.
- Type the person’s exact username and click Invite.
- The person joins the team right away and gets a notification. There is no separate accept step.
- You can invite anyone with an approved account, including people in another workspace.
- If a team project contains a password-locked note or notebook, you can’t invite new teammates until that lock is removed.
- Checking too many usernames in a short time is briefly blocked. Wait a moment and try again.
Roles and permissions
| Action | Team lead | Admin | Member |
|---|---|---|---|
| Invite teammates | Yes | Yes | No |
| Remove from team | Anyone else | Members only | No |
| Change the original team name everyone sees | Yes | Yes | No |
| Edit titles and managers in the org chart | Yes | Yes | No |
| Make admin · Remove admin | Yes | No | No |
| Transfer ownership · delete the team | Yes | No | No |
| Create team projects · team chat · a private team alias | Yes | Yes | Yes |
Change roles from the ⋯ button on a member’s row in the Manage team dialog. When you transfer ownership you stay on as an admin; to undo it, the new team lead has to transfer it back.
Team projects and the org chart
- New project (shared notebook): any teammate can create one. The creator owns it, and everyone else on the team gets editor access — including people who join later.
- View org chart: drag cards to place them; drop a card on a teammate’s card to put that person under them. You can add a title (for example, Principal Researcher) and a manager.
- Open team chat: opens this team’s conversation in Messenger. For separate topics, use channels.
Aliases, leaving and deleting
- Change my team alias sets a name only you see (up to 80 characters). Everyone else still sees the original name.
- Members and admins can leave with Leave team at the bottom of the Manage team dialog. A team lead can’t leave directly — transfer ownership first, or delete the team.
- When someone leaves or is removed, the team’s project shares and team channel membership end for them. They keep anything they own (such as a team project they created) and notes shared with them directly. Notes they created stay in the project.
- Only the team lead can Delete team, and you have to type the team name to confirm. The team disappears and project sharing is removed, but notes and notebooks are not deleted.
