Follow up on tasks you handed off

In To-dos → Handoffs, see whether each handoff was accepted and seen, then nudge the recipient or take the task back.

Applies to Web · Mac · iPhone app

Once you hand off a task, you want to know whether it landed. CommonNote records whether each handoff was accepted and whether it was seen, so you can decide to wait, ask again or do it yourself without sending a separate message.

Check the Handoffs tab

  1. Open To-dos from the sidebar and choose the Handoffs tab.
  2. If any handoffs are unanswered, a banner at the top reads “{n} task(s) you handed over are still unanswered”, listing them longest-waiting first with sent today or waiting {n} day(s) and their due dates.
  3. The list below is grouped by sender. Each handoff shows its status and memo.
LabelMeaning and what you can do
Awaiting acceptanceNo answer yet. Next to it you’ll see Seen · time or Not seen yet. You can Nudge again or Cancel handoff. In the original note, the line’s “→ name · awaiting acceptance” badge also blinks until they answer.
DeclinedThe recipient declined. Their reason, if any, appears as Reason: …. The task stays in the original note (if it went to several people, each decides separately — someone else’s acceptance still stands; if nobody accepts, it falls to the note’s owner). If you don’t own the note, it doesn’t come back to your to-dos.

When the recipient accepts, you’re notified, and the task goes into their daily note and becomes theirs.

Nudge again or cancel

  • Nudge again sends the handoff notification one more time. You can do this once every 6 hours per handoff; while you wait, the button reads “Nudge again in {time}”.
  • Cancel handoff withdraws a handoff that hasn’t been accepted yet. Confirm with Cancel request when asked “Cancel this handoff request?”. Accepted handoffs can’t be canceled.

See the history in the note

Right-click a line you handed off and choose View handoff history to open Handoff history. It shows who you handed it to and when, whether they’ve seen it, and the memo. For a pending handoff you can also use Request progress confirmation (the same as a nudge) or Cancel handoff here. Clicking :: → Hand off on a line that’s already handed off opens the same panel.
