Build a project tree

Bundle the notebooks and notes you use into your own projects — without touching team structure or sharing — and work through tasks by deadline.

The Project tree groups notebooks and notes into projects you define, such as “Thesis” or “Grant”. Nothing is copied or moved — items are only linked — so the same notebook can belong to several projects, and its location, sharing and lock settings stay as they are. Project groups are private to you.

Create a project

  1. Open Project tree from the sidebar (on a phone, Project in the bottom tab bar).
  2. Click Create project, type a name and confirm with Create project. If you have none yet, you’ll see Create first project instead.
  3. The project sources window opens right away. Search by notebook path or note title and select Notebook entries and Individual Notes. If you don’t have a notebook to link yet, Create First Notebook makes a top-level notebook and links it in one step.
  4. Click Save {n} Changes.

To add or remove sources later, select the project and click Add materials at the top, or use Manage Project Sources… in the project menu. A project can link up to 500 sources. Removing a source only unlinks it from this project.

The view you used last is remembered. The filter chips All · Late · Today · Next 7 days · Mine show counts, and Find tasks or materials… temporarily expands just the matches and their path. Expand all and Collapse all are there too.

Edit in task details

In the Task view, select a task to edit its text, dates (start and end) and status in the details panel; changes are saved to the source note. You can also Open the original task line, Open note or Hand off to someone from here. Turn on Include completed tasks to see finished ones. Tasks in notes you can only view are marked View only and can’t be edited.

Click an item’s ⋯ button, or right-click it.

  • Project: Manage Project Sources… · View project memo cards on map · Create project memo card · Open project map · Expand/Collapse project · Move project up/down · Rename project · Delete project group. You can also reorder by dragging a project card or with the ↑/↓ keys.
  • Notebook: Open in the note list · Open as a table · Expand/Collapse children · Manage Project Links… (choose every project that uses this notebook at once)
  • Task: Open the original task line · Open note · Show in the task panel · Show in calendar · Mark as done · Hand off task…
Delete project group permanently deletes the project’s private memos, shapes, connectors and uploaded project images. The original notes and notebooks, and their links in other projects, are kept.
