Share the calendar and use Calendar peek

Share your calendar items with a list of colleagues, and glance at a calendar beside your note without leaving it.

Items on your calendar come from two places: things you added right on the calendar live in your 📅 Calendar note, and everything else lives as dated lines in your other notes. So sharing follows one rule — you share notes. Calendar sharing is a shortcut that shares your 📅 notes with a list of colleagues in one step, including ones created later.

Share your calendar

  1. On the Calendar toolbar, click ⋯ (More calendar tools) → Share. On a phone, tap the Share chip.
  2. In Share calendar, type the person’s exact username under Colleague username. Names and email addresses won’t find them.
  3. Choose Can edit or View only and click Add.

Everyone on the list automatically gets access to your notes whose titles start with 📅 — the ones you have now and any created later. To stop sharing with someone, click the × next to their name; their direct share on those notes is removed. If those notes are also in a notebook you shared with them, they can still open them through the notebook.

Show items from your other notes too

Under My notes with schedules, the dialog lists your notes that contain dated lines, with a count such as “5 schedules”. Those items are visible to others only if the note is shared. Click Share with list next to a note to share it with everyone on your list; notes already shared are marked Shared.

Calendar sharing really does share the notes. Colleagues added with Can edit can change or delete lines in your 📅 notes. Locked notes aren’t shared. For the difference between roles, see Share notes and notebooks.

Calendar peek

When you’re writing and wonder what’s on a certain day, open a small calendar beside the note instead of switching to the calendar screen. On a phone it opens as a sheet at the bottom.

  • Click a date to see that day’s items, or Next 7 days to see the week ahead from today. With the calendar focused, the arrow keys move between days.
  • Click an item to open its note. Items from the note you’re in are labeled “This note”; clicking one jumps to that line in the note.
  • Type in the field under the day view (for example “Add a to-do for Sep 30”) and press Enter to add a to-do for that day to your 📅 Calendar note.
  • Open full calendar switches to the calendar screen. Drag the panel’s left edge to resize it, and press Esc or the close button to close it.
