Use the To-dos view

See tasks from all your notes in one place, sorted by deadline, and add new ones straight to your daily note.

Applies to Web · Mac · iPhone app

The To-dos view collects tasks from every note you can see. Nothing is copied — it shows the lines in your notes, so completing a task or changing its date here changes that line in the original note. Open it from To-dos in the sidebar (on a phone, To-dos in the bottom tab bar).

Scope and tabs

Choose My to-dos or All at the top. My to-dos covers tasks in notes you own plus handed-off tasks you accepted; All adds tasks in notes shared with you. Your choice is remembered.

TabWhat it shows
ListOpen tasks, with quick add, search, deadline chips and view options.
By personTasks grouped by owner (or by team).
CompletedFinished tasks grouped by day. Tasks you finish today move here tomorrow.
HandoffsHandoffs you sent and received. See Follow up on tasks you handed off.
RequestsReview requests. See Send and answer review requests.

A red count on a tab means something is waiting on you; an amber count means you are waiting on someone else.

Quick add task

  1. Type the task in the box at the top of the List tab, e.g. Host meeting @9/30 5pm.
  2. Optionally click the date button to choose a due date: Today (the default), Tomorrow, In 7 days, Undated or Custom. Once a date is chosen you can add a Time.
  3. Press Enter or click Add. The task is added as a checklist line in your daily note.
A date typed in the text, such as @9/30 or @tomorrow, wins over the date you picked. A time on its own (@3pm) or an @mention is not a date, so the picked date is used. Quick add needs a connection. If adding fails, your text and date stay in the box — check the connection and press Enter again.

Search, filter and switch views

  • Search matches task text, owners and source note titles.
  • Deadline chips: All · Overdue · Today · Next 7 days · Undated, each with a count. Click a chip again to clear it.
  • The In progress chip shows only tasks whose status is in the in-progress group (by default, In progress and Review).
  • View: List (grouped into Overdue, Today, Next 7 days, Later and Undated), Cards, or Board (a kanban by status). Clicking a deadline chip while on the board switches to the list.
  • Calendar opens the same tasks on the calendar.

Deadlines are calculated in Korea Standard Time, and a date range counts as due on its last day.

Working with a task

Each task card has Source (jump to the line in its note) and Hand off. Right-click a task, or click ⋯, for the full menu:

  • Open the original task line · Open note · Show in project tree · Show in calendar
  • Edit task · Set due date & time (or Change due date & time) · Hand off to someone
  • Delete task · Copy task text

Hand off only appears on tasks that are open, not already handed off, and in a note you can edit.

Tasks waiting for you to accept

When someone hands you a task, a card appears above the List tab: “{n} tasks awaiting acceptance — accept to add them to your to-dos”. You can Accept or Decline right there. See Accept or decline a handoff.
