Workspace members and seats

A workspace is where seats and billing live. Its owner brings people in with email invitations and manages seats.

CommonNote groups people in two ways. A workspace is the organization an account belongs to; seats and plans are tied to it. A team is a group you create in the sidebar to work with people inside or outside your workspace. This article covers how a workspace owner manages members and seats. Open the member list

  1. Click your profile (avatar) at the right end of the top bar.
  2. Choose Plan & billing and go to the Team members section.

Only the owner of a team workspace sees this section. The Seats & email invites button that appears when you open a team you manage in Colleagues goes to the same place.

Invite a member by email

  1. In Team members, click Invite a member.
  2. Enter the Email to invite and click Send invite.
  3. The recipient uses the link in the email to sign up with that address. They join the workspace once they verify their email.
  • Invitations are valid for 7 days (shown as Valid through {date}). Sending a new one to the same address cancels the old link. You can Cancel a pending invitation.
  • If the email can’t be sent, the invitation link is copied to your clipboard so you can send it yourself.
  • You can’t invite an address that already belongs to the workspace.
Only someone who signs up with the invited address can join. To work with someone who already has a CommonNote account, use a team invite or share a note instead.

How seats are counted

  • A seat is an approved, non-suspended account that belongs to the workspace. The section shows {n} active seats and {n} pending invitations.
  • Pending invitations hold a seat too. Once active seats plus pending invitations reach the limit, you can’t send new invitations.
  • The seat limit comes from your plan. A workspace without a seat limit can’t send email invitations. See Plans and storage.
  • If there are more members than seats, the extra members become read-only. The owner always has the first seat, then members in order of how long they’ve been there. Read-only members can still read and export.

Manage members

Use the permission menu on a member’s row.

Workspace owners can also use Sign out on all devices, Suspend account and Restore account from the ⋯ menu in a teammate’s team management panel in Colleagues. Signing someone out everywhere keeps their account and data, and returns every open app and browser to the sign-in screen.

Confirmation messages on this screen call the workspace a “team” (for example, “Transfer team ownership to …?”). They mean the whole workspace, not a sidebar team.
