Fixed weekly timetable

Write your classes and routines down once, and they appear on the calendar and the daily time grid every week.

The weekly timetable is tied to weekdays, not dates. Enter something like “Data Structures, Mon/Wed 10:30–12:00” once and it appears on those days every week, on both the calendar and the time grid. Entries aren’t tasks, so they don’t pile up in your to-dos waiting to be checked off. If you want a new task created on certain weekdays, use recurring tasks instead.

In the Fixed weekly timetable dialog, use Input mode to choose List or Fill grid.

Add entries as a list

In Quick add, one per line, write one entry per line and press ⌘Enter (or the “Add 3” button). Name, days and time can come in any order.

Use 24-hour times in English entries. Korean forms such as 영어 화목 3-4교시 (periods 3–4 on Tue and Thu) also work. Lines the app can’t read are marked “Couldn't read”. You can also add entries one at a time with Add a timetable entry: set a Name (up to 60 characters), Days (the Weekdays, Weekend and Every day buttons pick several at once), Start time, End time and a color.

Each entry has two switches: Show on the calendar puts it in the month grid, and Show on the daily timetable puts it on the time grid.

Fill in the period grid

For a school-style timetable split into periods, painting a grid is faster.

  1. Under Period layout, set Period 1 starts, Class length, Break length, number of Periods, and where lunch falls and how long it is. Turn on Include weekend if needed.
  2. Pick a subject under Subjects, then click or drag across cells to paint them. Use the Eraser to clear cells, and Esc to stop painting.
  3. You can also select a cell and just type a subject name. Enter moves down and Tab moves right. You can paste a timetable copied from a spreadsheet, and ⌘Z undoes.
  4. Check the summary of added, edited and removed entries at the bottom, then click Save timetable. Nothing changes until you save.

Send to a colleague

If a colleague takes the same classes or shares your lab schedule, you can give them a copy of your timetable.

  1. Click Send to a colleague in the dialog.
  2. Choose the Colleague and the entries to send (up to 50 at a time). Optionally add a Note (optional) of up to 200 characters.
  3. Click the “Send 5” button.

Your colleague gets a notification. Opening it shows a preview titled “Weekly schedule from …” where they choose Save to my weekly schedule or Ignore. Entries with the same day, time and name are skipped. What they save is a copy, so later changes you make don’t affect it. The offer expires 30 days after it was sent, even if they’ve previewed it — they need to save it within that time.

Ask a colleague for their timetable

To schedule a meeting or lab shift you need your colleagues’ timetables. Instead of copying them by hand, send a request.

  1. In the weekly timetable dialog, click Request timetable.
  2. Choose the colleague under Ask colleague, add an optional Note (optional) of up to 200 characters, and click Send request.
  3. They get a notification that you asked for their weekly timetable, and can pick entries to send or Decline.
  4. When their timetable arrives, choose As … ’s timetable under Where should it go? (this is the default for timetables you requested).
Save asWhat happens

If you already have an unanswered request to the same person, a new one isn’t created (and they’re notified only once). You can send up to 20 requests a day; unanswered requests disappear after 30 days.

Find common time

Overlay teammates’ weekly timetables to find when everyone is free and when everyone is busy. Open it with Find common time in the weekly timetable dialog, or right-click a team in the sidebar and choose Overlay team timetables.

  1. Under With, choose a team. If you’re not on a team, choose Saved colleague timetables (this view has no request buttons — use Request timetable in the weekly timetable dialog to get a new one).
  2. Each member shows where their timetable comes from: My timetable, Shared with team (they shared it with this team), Saved copy (a copy you saved as their timetable) or No timetable. Use Ask or Ask again next to a name to request one.
  3. Tick the people to overlay, then set the days (Weekdays/Every day), start and end times and Minimum length. With three or more people, raise Can miss to 1, 2… to find times that work for almost everyone — the same people must be missing for the whole window (a window where A misses the first half and B the second isn’t suggested).
  4. On the left you get the matching free times and the times when everyone is busy; on the right, a grid shows how many people are busy in each 30-minute slot. Hover or Tab to a slot to see who, below the grid. The lists use exact start and end times, not the 30-minute slots.
Turn on Share my weekly timetable with this team to let teammates overlay your timetable (your own entries only — notes you keep about colleagues are never shared). It shows your current timetable rather than a copy, so your edits appear when a teammate reopens the overlay or clicks Reload. It stops being visible if you leave the team or turn the switch off.

Good to know

  • Each person can have up to 200 timetable entries.
  • Choosing a colleague under Whose schedule lets you keep a note of their timetable. It’s visible only to you and never appears in their account. Colleagues show up there once you share a team or a note.
  • On the time grid, turn on View → Lay the weekly timetable underneath to show the timetable behind your blocks.
