Calendar and the date board

Every task with a date in your notes lands on one calendar. Click a day to see that day's work laid out on a board.

Applies to Web · Mac · iPhone app

The calendar isn’t a separate place to type events. It collects every task in your notes that has a date, like @9/30, and lays them out by day. Items you add on the calendar also become lines in a note, so your notes and your calendar never drift apart.

Open the calendar

Click Calendar in the sidebar. On a phone, it’s the Calendar tab at the bottom. Use Calendar view in the toolbar to switch between Calendar (the month grid), Time grid and Table. This article covers the Calendar view.

  • Move between months with Previous month, Today and Next month.
  • Use the Colleagues menu to choose whose items to show: My schedule, All, or a colleague’s name.
  • The summary cards at the top show Today's to-dos, This week, Overdue and Request acknowledgment (items colleagues wrote that you haven’t acknowledged yet). Click a row in a card to open it in its note.

Add items

Do thisResult
Click an empty dayAn input opens on that day. Type and press Enter.
Drag across several daysAdds a bar that spans those days (a multi-day item).
Click New event in the toolbarOpens the input on the selected day, or today.
Add @5pm to the textAdds a time.
Add ~7/24 to the textMakes it a multi-day item running through July 24.

Everything you add on the calendar goes into a single 📅 Calendar note, in a section for each month, as a checklist line with an @due date. See Add due dates with @ for the date formats you can type.

The date board

Click a day and its items appear below the grid, split into Multi-day and Single-day. Each item shows a countdown or its progress (In progress, Not started, or how many days overdue).

  • Click a card to open its note. To edit or complete it, right-click the card or use the ⋯ on its right.
  • Time grid in the board header opens that day on the time grid; Add opens an input for that day. If the day has weekly timetable entries or scheduled blocks, they appear in their own groups (for example “2 timetable entries”, “3 scheduled tasks”).
  • Use the arrow at the left of the header to collapse or expand the board. The app remembers your choice.
  • On wide screens, Coming up runs down the right side; on a phone, What is coming up continues below the board, so items in the next month are visible too.

The item detail card

Click (or right-click) an item in the grid to open its detail card. From there you can Edit text (incl. @date/time), Mark as done or Mark as not done, Open in note, Show in the task panel, Show in project tree, pick a bar color, or Delete item. A single-day item can be painted like a bar by picking a color under Emphasize as a bar. If colleagues have acknowledged the item, Acked by lists them.

Delete item doesn’t just hide it from the calendar — it removes the line from the note.

More tools

The ⋯ button (More calendar tools) at the right of the toolbar holds Share, Import, Weather (Calendar view only; location-based weather from Open-Meteo, and if location access is off it asks for a city name), Expand all items and Calendar tips. On a phone, the view switcher is a set of icons, and the weekly timetable, colleague filter, Share and Import appear as chips in the toolbar.

To get today’s schedule in one push each morning, check View options → Work-life balance alerts → Morning schedule digest (on by default). See Get notifications.
