Set up recurring tasks

Pick the weekdays and the task is added to the owner’s daily note at the start of the workday, every time.

Chores that come back on the same weekdays — passaging cells, preparing media, checking the freezer — are good candidates for recurring tasks. On the days you choose, the task is added to the daily note as a checklist line. If you assign an owner, it goes straight into their daily note, so you don’t have to ask every week.

Add a recurring task

  1. Open To-dos from the sidebar.
  2. Click Recurring tasks at the right end of the tab row.
  3. Type the task (up to 200 characters), e.g. Write weekly report.
  4. Choose the owner: Owner: me or Owner: {name}. The list shows everyone you work with, but only colleagues in your own workspace can be saved as the owner of a recurring task — choosing someone from another workspace is refused when you save.
  5. Turn on the weekdays with the day buttons (Sun · Mon · Tue · Wed · Thu · Fri · Sat). You can pick several. Monday is selected to start with.
  6. Click Add. When you see “Recurring task added”, the rule appears in the list.

When and where tasks appear

TimeThe work start time of the person who created the rule (09:00 KST by default). Change it in View options → Work-life balance alerts → Work hours.
DaysAny weekday in the rule, even if it isn’t one of your workdays (a Saturday, say).
WhereThe first checklist in the owner’s daily note. A daily note is created if there isn’t one yet.
For the ownerIt becomes their task immediately — no accept or decline step. The rule’s creator is recorded as the line’s author.
How oftenOnce per rule per day.
If you create a rule that includes today after the work start time has passed, it lands in today’s note within about a minute.

Change or delete a rule

Click the trash icon at the right of a rule in the Recurring tasks window to delete it. Rules can’t be edited in place, so delete and add it again. Deleting a rule doesn’t remove tasks that were already added to notes.

Good to know

  • Rules are weekday-based only. There’s no monthly, every-other-week or hourly repeat.
  • A rule is listed only for the person who created it; the assigned owner can’t see or delete it in their Recurring tasks window.
  • If the owner’s daily note is locked with a password, the automatic add is skipped.
  • To block out the same time slots every week rather than create to-dos, use the fixed weekly timetable.
