Timebox tasks on the time grid

Leave the due date alone and block out when you’ll actually do the work, on a day or week time grid.

A due date says “by when”; a time block says “when I’ll do it”. On the time grid you drag tasks into time slots and plan your day in blocks. Blocks are saved only to your own schedule — the task’s text and due date don’t change.

Open the time grid

  1. In Calendar, set Calendar view to Time grid. You can also click Time grid in a date board header to jump straight to that day.
  2. Under Time grid view, pick Day or Week. Use the arrows to move a day (or a week) at a time, and Today to come back.
  3. The Tasks to schedule list on the left shows tasks with no time yet. Its header shows how many are Unscheduled and how much of the day is scheduled and free. Use Search tasks to find one, switch the filter between Today (work you can act on today) and All (every unfinished task), and turn on Include finished if you need it.

Schedule a task

  • Drag and drop: drag a task from the list onto the grid.
  • Click to set: click a task to open Schedule task. Use Quick schedule (30 min from now, 1 hour from now, Next free slot), or fill in Scheduled date, Start time and End time (or Duration) and click Save. For a block that runs to midnight, turn on End at midnight (24:00).
  • Drag an empty slot: drag up or down on empty grid space to mark a time range, then pick the task to put there.

A task with a due time (for example @tomorrow 3pm) already appears as a 30-minute Deadline time block at that time, even before you schedule it. Once you schedule and save it, it moves to your chosen time.

Move and resize blocks

Click a block to reopen Schedule task, where you can Open original task, set an Alarm or Unschedule (for blocks you placed). All times are Seoul time.

Time grid view settings

Click View to open Time grid view settings: Visible hours (Start and End), Hour height, 15-minute guide lines, Lay the weekly timetable underneath, and Week starts on (Monday or Sunday). If blocks fall outside the visible hours, a button such as “2 outside range” appears at the top or bottom; click it to show the full day.

On a phone

The task list moves into a sheet at the bottom of the screen; tap the bar to open it. To drag a task or block, press and hold briefly, then move. If you move without holding, the screen scrolls instead.

For things that repeat at the same time every week, like classes or lab slots, don’t schedule tasks — add them to your fixed weekly timetable. With Lay the weekly timetable underneath on, they sit behind the grid so you can see where the free time is.
