Reuse documents with templates
Mark any note as a template, and new notes can start as a copy of it.
Applies to Web · Mac · iPhone app · you can mark only your own notes as templates
A template is a note that gets copied when you create a new note. Keep documents that always start with the same headings, tables or checklists — meeting notes, lab notebook entries, weekly reports — as templates, and start from that structure instead of a blank page. Templates don’t appear in your regular note lists; they are collected on the Templates screen in the sidebar.
Start with the 7 starter templates
- Click Templates in the sidebar.
- Click Add 7 starter templates — meeting notes · lab notebook · report … below the list.
Templates for meeting notes, a lab notebook, a weekly report, a paper review, a project kickoff, an issue report and a 1:1 meeting are added in your account language. Templates you already have are skipped, so clicking again won’t create duplicates. Edit the added templates like any other note.
Turn your own note into a template
- Open the note, then in the header choose ⋯ Note tools → This note → Mark as template.
- Or right-click the note in the note list and choose Mark as template.
- To create a template from scratch, open the Templates screen and click + in the note list. The new note is a template from the start.
A note marked as a template leaves its usual list and moves to the Templates screen.
Create a note from a template
- Click + (New note (⌘N)) at the top of the note list. When you have templates, a menu opens.
- Pick a template from the Templates list at the bottom of the menu.
- A new note opens with the template’s content, along with the message “Created a new note from the template”. Change the first line (the title) to fit today.
You can also hover over a template on the Templates screen and click New note from this template.
Edit or unmark a template
- To change a template, open it from the Templates screen and edit it like a normal note. Notes you already created aren’t affected; new notes start from the updated version.
- To turn a template back into a normal note, right-click it in the note list and choose Unmark as template. With the template open, clicking Mark as template (shown as on) in Note tools also unmarks it.
Good to know
- Everyone has their own template list, and you can only mark your own notes as templates.
- Templates aren’t included in Back up all notes (ZIP). Export them one by one if you want a copy.
- For short phrases you insert in the middle of a note, snippets fit better than templates. For a record you keep every day, see Keep a daily note.
